General Guidelines
What information is collected?
Through impact assessment surveys, SKTI collects impact data related to the activities and events of the entire institute network for the purpose of impact evaluation.
Each institute selects around 3–5 major projects or initiatives annually, for which surveys are to be filled out by relevant target groups: artists/researchers, partners, the institute itself, and the audience. The institute’s self-assessment form is to be completed for all projects or initiatives where other data is also collected.
Institutes must report to SKTI the projects or initiatives from which data will be collected by a designated deadline each year. The reports should be submitted here [linkki].
A general rule of thumb is that the forms should gather information on activities that reflect the institute’s core purpose and best demonstrate its impact.
The information provided helps SKTI evaluate how well the network’s impact goals are being met through the institutes’ activities. Institutes can also use this information for their own evaluation, improvement, and communication of their impact.
SKTI may use anonymized responses in its impact communications, advocacy, and reporting.
How is the information collected?
Tailored impact assessment surveys have been created for each stakeholder group (artist/researcher, partner, institute, and audience) in the Webropol system. Each institute has been given specific survey links for each stakeholder group (4 links) and reporting links (4 links) to monitor responses.
It is recommended that each institute appoints a responsible person to ensure that data collection is completed.
Institutes are responsible for distributing the survey links to relevant target groups immediately after the project or initiative concludes.
It’s advisable to agree with the target groups in advance, for example in the project contract, on the completion of the survey to ensure commitment.
If the project involves an audience, it’s essential to consider how to reach them early on so that the institute can collect the audience’s email addresses. Sometimes the audience may only be reachable through a partner organization (e.g., theater, venue, festival), so this should be discussed during the partnership agreement.

Institutes are responsible for ensuring that the stakeholder groups complete the form. Each institute has access to four reporting links, where they can track the status of responses. Reminders should be sent if necessary.
Access to Response Data and Survey Forms
Institutes can view the response data submitted through the forms in real time via the reporting links provided.
The reporting links will be sent by SKTI to the responsible person, designated by the Institute, by e-mail. When the institute’s designated person in charge changes, SKTI will update the Institute-specific reporting links in order to ensure data protection.

Institutes are advised to save the survey and reporting links in their organization’s files and bookmark them in the browser.
Additional languages for the survey forms can be added as needed. The institute is responsible for arranging translations, which SKTI will then include in the language selection. The text files for the survey forms are available in the Material Bank.
Analysis of Response Data
SKTI compiles and analyzes the survey responses at the network level on a regular basis (approximately once a year). The results and open responses can also be used continuously for impact communication, advocacy, and reporting.
Institutes can use their own data for evaluating their impact, impact communication, advocacy, and reporting.

Survey for Artists and Researchers
The survey for artists and researchers is intended for individuals involved in the content of the institute’s activities, including researchers, artists, students, cultural professionals, and experts. In the case of a group, each member should complete the survey individually.
Partner Survey
The partner survey is for organizations that collaborate with the institutes in enabling scientific and artistic activities, such as research and art organizations, funders, intermediaries, managers, researchers, patrons, galleries, and museums.
Institute Self-Evaluation
The institute’s self-evaluation form is completed for all projects or initiatives where other data is also collected.
Public Opinion Survey
The public opinion survey is for the recipients of the institute’s activities, including general audiences, the media, participants, and representatives of other fields.
